The Ministry Services Division provides enterprise-wide support services for the Department of Energy and Minerals and ensures alignment with and adherence to related Government of Alberta policies. As part of the division, the Business Services branch provides: Legislative planning and reporting, Coordination of the department’s policy, legislation and agency governance files, Coordination of the red tape reduction initiative for the department, Procurement services, Corporate strategic initiatives and operations, and Facilities, and accommodations services on behalf of the department for both the Edmonton and Calgary offices. We are seeking a skilled and adaptable professional to join our team in a role that reports directly to the Executive Director and supports strategic priorities, key organizational initiatives, and branch operations. Reporting to the Executive Director of Business Services, the Operational and Planning Coordinator provides research, analysis, planning, coordination, and reporting support to advance departmental priorities, programs, and policy initiatives. Working under supervision, the incumbent contributes to business planning and reporting, legislative and Cabinet processes, program implementation, performance measurement, and continuous improvement initiatives. The role requires strong organizational and project management skills to coordinate multiple initiatives and support corporate reporting requirements. This role is ideal for a collaborative and detail-oriented individual who enjoys managing multiple priorities, coordinating projects with tight timelines, supporting executive decision-making, and driving continuous improvement. The successful candidate will work with a wide range of stakeholders, gathering and analyzing information, preparing briefing materials and reports, and ensuring key initiatives stay on track. The position also provides operational support to the Executive Director's Office and the branch leadership team, including coordinating information requests; supporting recruitment and administrative processes; assisting with contract documentation; maintaining collaboration and information-sharing tools; organizing meetings and briefing materials; and identifying opportunities to improve business processes through technology and innovation, including the use of artificial intelligence. The successful candidate is an excellent communicator with strong organizational and time management skills, the ability to prioritize competing demands, work independently, solve problems, and meet deadlines. A commitment to collaboration and service excellence is essential, as the role provides critical support to branch operations within an established framework of policies, procedures, and administrative standards. Some of the responsibilities of this position include, but are not limited to: Support branch, division, and departmental planning activities. Coordinate information gathering and analysis for strategic plans, business plans, and priority initiatives. Contribute to project planning, implementation, monitoring, and reporting activities. Prepare and track briefing notes, issue notes, presentations, and background materials. Support mandatory legislative planning and reporting requirements. Support the development and tracking of performance measures and key indicators. Analyze results and prepare reports identifying trends, risks, and opportunities for improvement. Maintain records, reporting tools, and project tracking systems. Act as the branch's Workplace Administrator for 1GX and support branch management in completing recruitment process in 1GX, expenses, travel and invoicing. Maintain the Executive Director Committee SharePoint site by uploading meeting agendas, meeting materials and adding/removing members. Role Responsibility cont. Working knowledge of governmental systems and processes; Financial and human resource policies and processes. Strong communication skills, including the ability to clearly convey information, facilitate discussions, and support decision-making. Assets: Ability to prepare accurate reports using excellent written and oral communication skills. Proficiency using Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, Copilot and SharePoint, to support analysis, documentation, coordination, and reporting.
